Fix the record model before adding AI
Sales workflows depend on consistent contacts, accountable ownership and a shared meaning for each stage. Establish deduplication rules and required fields before introducing automated scoring. A model cannot reliably resolve conflicting customer identities when the underlying system has no agreed source of truth. Keep unverified information distinguishable from confirmed business facts.
Automate coordination before persuasion
Useful first tasks include assigning an inquiry, reminding an owner about a promised follow-up or checking that a proposal has an authorized reference. These tasks can often use clear rules. AI may help summarize permitted notes or draft a response, but a person should review factual claims, prices and contractual commitments before anything is sent.
Respect the permission to contact
An inquiry does not automatically authorize newsletter enrollment or unrestricted outreach. Record the purpose for which information was collected and maintain unsubscribe or suppression behavior where required. Avoid importing purchased lists into an automated sequence without a reviewed legal and operational basis. Separate support communications from marketing campaigns.
Bound scoring and tool access
If AI suggests a lead priority, make the inputs and limitations understandable to the reviewer. Do not use sensitive inferred traits or allow a generated score to grant discounts or access. Restrict tools to the relevant customer context and protect against instructions embedded in inbound messages. Log decisions with minimal necessary personal data.
Evaluate the whole workflow
Review duplicate records, missed follow-ups, incorrect summaries and opt-out failures alongside business outcomes. Test what happens when an email provider rejects a message or a CRM API is unavailable. Reconcile attempted and completed actions. A useful system supports staff accountability; it does not justify fabricated conversion statistics or a promise that automation will close every lead.
A practical planning checklist
Map an inquiry from receipt to an accountable next action, then test duplicate contacts and a failed outbound message. Decide which facts staff must verify before a proposal is sent. Review the consent purpose and suppression rules with the owner. Keep an AI-generated summary as a suggestion until a person accepts it into the customer record.
